Rules for implementing long-term student, doctoral student, and recent graduate traineeships in the Erasmus+ KA131 programme

Mobility in 2026/2027

- The following persons are eligible for traineeship in the Erasmus+ programme:
- formally registered at the University of Szczecin (US) as students in a field of study leading to a bachelor’s/engineer’s or master’s degree or as participants in doctoral studies/doctoral students at the Doctoral School of the University of Szczecin (DS),
- those, who have graduated from the US, so called recent graduates – under the condition of entering the qualification in the last year of studies and completing the traineeship within 12 months from graduation from the studies/DS,
- those, who successfully passed the recruitment process and were qualified for the mobility.
- During the Erasmus+ traineeship mobility, the student/doctoral student may not take the diploma examination/defence of the diploma/doctoral thesis.
- The traineeship mobility can be carried out in institutions registered in countries participating in the Erasmus+ programme, so called programme countries, included in the Programme Guide.
- Institutions where the traineeship can be carried out are e.g. universities, scientific institutes, research institutions, educational institutions, enterprises, church organisations, associations, political parties, NGOs etc. The traineeship cannot be carried out in the institutions of the European Union, institutions managing Union programmes listed at https://europa.eu/european-union/about-eu/institutions-bodies_en. The traineeship cannot be carried out in an institution in which the student/doctoral student/graduate is employed, which they manage, own or co-own.
The institution or its organizational unit, in particular the branch or department, where the student/doctoral student/recent graduate intends to complete the traineeship, must be registered and operate in the country where the traineeship is to be carried out.
The traineeship must be relevant to the field of study (it must be closely related to it), adapted to the needs of personal development, and, to the extent possible, integrated with the study program. The realisation of traineeship abroad is aimed at developing professional competences related to the field of study and gaining new skills and experience of working in an international environment. - The traineeship period lasts from 2 to 12 months and is carried out within the academic year. The traineeship must be started and completed between 01/07/2026 and 31/07/2027. The traineeship is carried out on a continuous basis, i.e. without breaks.
- Students/doctoral students/graduates should be guaranteed recognition of the period of traineeship completed at the partner institution. As a rule, the traineeship is recognised by entering information about the realisation of the traineeship in the diploma supplement in the section concerning additional achievements (recognition of the Erasmus+ traineeship as an optional one), although the possibility of an alternative recognition of the traineeship as a compulsory one in the programme of studies/DS is not excluded.
- A traineeship mobility within the Erasmus+ programme can be realised several times in the entire period of study, with the maximum total duration of study period and/or traineeship being 12 months at each cycle of study (1st, 2nd, or 3rd cycle), and in case of a student of a uniform master’s degree programme – 24 months. In each case, the period when a student/doctoral student stayed as a scholarship holder in the LLP-Erasmus or Erasmus+ (with or without a scholarship) will be deducted from the maximum total duration.
- The mobility must be carried out in accordance with the rules laid down in the Erasmus+ Programme Guide and with the guidelines of the National Agency of the programme in Poland – Foundation for the Development of the Education System (FDES): https://erasmusplus.org.pl/sektory/szkolnictwo-wyzsze/akcja-1-mobilnosc-edukacyjna
- The following persons are eligible for traineeship in the Erasmus+ programme:

- The basic qualification criteria are as follows:
- academic performance – grade point average for the last completed semester of study: minimum 3.0.
- knowledge of the language of the traineeship, at least level B1 according to the Common European Framework of Reference for Languages (CEFR).
- Qualification for traineeship mobility in the Erasmus+ programme is carried out in two stages:
- qualification conducted at the faculty from which the student/doctoral student will want to go abroad, by the coordinators for international exchange or in SD by the coordinator of the Doctoral School for international exchange (hereinafter “coordinator/s”),
- verification of knowledge of the foreign language in which the traineeship will be carried out.
- The qualification applies to one course of study, so students registered in several courses are obliged to settle the question of their absence in the manner adopted in the given faculty (individual study organisation, dean’s leave).
- Basic faculty qualification takes place between 07/01 and 20/02/2026 (until 15:00). The first additional qualification is carried out between 20/04 and 08/05/2026 (until 15:00) and the second additional qualification will be conducted only if there are available funds between 30/10 and 13/11/2026 (until 15:00).
- Persons participating in the qualification fill in the on-line application form in the DreamApply (DA) system.
In the application form, you must declare, if applicable, that:- the person has a certified degree of disability (certificate of disability has to be presented when signing the scholarship agreement),
- the person has a child up to 8 years of age (birth certificate has to be presented when signing the scholarship agreement),
- the person has been granted the right to asylum/refugee status (documents have to be presented when signing the scholarship agreement).
The application form must include:
- the decision to grant a social scholarship from the US, if applicable,
- certificates/language qualifications held.
A student/doctoral student may apply for a maximum of three traineeships within one academic year.
- The grade point average is completed by the dean’s office in the DA. Eligibility is decided by a selection committee at the faculty level or within the DS consisting of three persons (when the number of coordinators in a faculty is less than three), or five persons (when there are three or more designated coordinators in a faculty), including:
- in case of the faculties of the US – all coordinators appointed for the disciplines taught by a given faculty and the deputy dean for student affairs/dean of a given faculty,
- in case of the DS – the DS coordinator and the director/deputy director of the DS, the rector’s departmental plenipotentiaries for doctoral studies.
The qualification results will be published no sooner than 10/03/2026 for the basic qualification and no sooner than 20/05/2026 for the additional qualification, and no sooner than 25/11/2026 for the second additional qualification.
- The candidate has the right to appeal against the decision of the Committee within 5 working days of the announcement of the result of the qualification, to the vice-rector for organisation, whose decision is final.
- Those who have successfully passed the qualification at the faculty/DS level, proceed to the foreign language verification in the mode determined by the IRD.
- The qualified persons are informed by IRD about further formalities and documents related to the traineeship. Information is provided by e-mail and/or via the DA.
- Information about the possibility of taking the test and course on the Online Language Support (OLS) platform is available on the IRD website, and qualified students are additionally informed about the platform by email.
- The basic qualification criteria are as follows:

- The scholarship amount includes a lump sum for individual support (subsistence allowance) and a lump sum for travel (travel costs).
- The monthly rate for individual support depends on the destination country of the mobility. The scholarship is only paid for the duration of physical stay in the host institution’s country*, and the minimum stay is 2 months. A participant pursuing a part of the traineeship remotely/on-line/in virtual form from their home country (without going abroad) is not entitled to a grant for that period of study.
An exchange planned entirely in a remote/on-line/virtual form from the home country (without going abroad) is not justified under the Erasmus+ programme. - Rates for long-term student traineeship mobility in programme countries:

820 € 3 Bulgaria, Croatia, Hungary, Lithuania, Republic of North Macedonia, Romania, Serbia, Turkey 750 € - The lump sum for travel costs depends on the distance between the place of departure (the seat of the US, i.e. Szczecin) and the destination (location of the receiving institution) according to the rates presented in the table below. If the return journey is made by means of low-emission transport, the so-called “green travel”, i.e. the longest sections of the route are covered by bus, train, bicycle, or by car sharing, the Programme participants may apply for a lump sum for travel costs at the “green travel” rate:

Participants travelling less than 500 km should use “green travel”.
In addition, participants travelling by non-ecological means of transport (not “green travel”) on days other than the start and end of mobility at the host institution receive a lump sum for subsistence costs for up to two additional travel days (one before the start and one after the end of mobility).
Participants opting for “green travel” may apply for additional individual support for subsistence costs for the additional travel days in accordance with the Rules for the granting and settling of ‘green travel’ available on the IRD website.
- Students/Doctoral students with fewer opportunities** receive individual support at an increased rate of an additional 250 €/month, regardless of the destination country.

- The scholarship period is specified in the scholarship agreement concerning the mobility and the maximum period of stay in the host institution co-financed by the university is 3 months (90 days). Co-financing of the “green travel” is not included in the period of stay at the host institution.
- The scholarship is awarded to qualified applicants in the order in which the set of documents specified in par. 29 is delivered to the IRD (the date on which the last of the set of documents is received is decisive) until the funds allocated to the US by the FDES are exhausted.
- The grant/individual support awarded to the participant constitutes a grant aimed at equalizing the difference between the cost of living in the country and the cost of living in the country of the host institution. The grant does not cover the full costs of a stay abroad.
* Final duration of stay is calculated on the basis of the confirmation issued by the host institution at the end of mobility. The scholarship cannot be increased after the end of mobility. If the confirmed mobility period is longer than the financed mobility period specified in the scholarship agreement, any additional days are recognized as unfunded duration days.
** People from disadvantaged backgrounds, people with disabilities, students/graduates/doctoral students with children under the age of 8 years (in the year of mobility), people having right to asylum or having refugee status

- A person qualified for the mobility becomes a formal beneficiary of the Erasmus+ programme – traineeship mobility by signing a scholarship agreement (hereinafter: a participant).
- The participant signs a scholarship agreement with the home university at least 14 days before the planned start date of mobility.
- Mobility planned by the participant to their home country may be carried out if there are no other applicants for mobility.
- The conditions for signing a scholarship agreement are as follows:
- attaching scans of the following documents in the DA:
- Learning Agreement for Traineeship (LA); validated with all signatures:
- student/doctoral student/graduate,
- a relevant US coordinator,
- a representative of a host institution.
The Learning Agreement for Traineeships is a substantive document based on which the traineeship at the home university is recognised.
Students/doctoral students are advised to leave one copy of the LA in the dean’s office/DS secretariat. - in case of realisation of a part or all of the traineeship during the academic year – a consent of the home faculty/DS to the student’s mobility in the specified period and to the manner in which the student will be credited for the period of studies during which the traineeship was carried out, or a certificate from the dean’s office/a scan of the diploma with the date of the diploma examination/thesis defence – in case of recent graduates,
- in the case of completing the entire traineeship during the summer holidays in 2026 – a document confirming the status of a US student in the academic year 2025/2026 or 2026/2027 issued by the dean’s office of the relevant faculty/SD or a certificate from the dean’s office/a scan of the diploma with the date of the diploma exam/thesis defence – in case of recent graduates,
- in case of students/doctoral students in their final year of studies who complete their traineeships during the academic year – the supervisor’s consent to their mobility,
- documents providing evidence of the insurance coverage required: obligatorily health insurance, accident insurance, and third party liability insurance,
- in case of recent graduates – a signed blank promissory note accompanied by a signed promissory note agreement.
- Learning Agreement for Traineeship (LA); validated with all signatures:
- delivering to the IRD the full original of the LA (original signatures of the participant and the US coordinator are required, the signature of the host institution may be a scan) and, in case of recent graduates, the original blank promissory note together with the promissory note agreement.
- attaching scans of the following documents in the DA:
According to the guidelines of the National Agency for the Erasmus+ Programme in Poland, the documents ((O)LA and scholarship agreement) should have uniform signatures, i.e. all signatures on one document should have the same form (all parties sign either handwritten or with qualified signatures).

- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:
- a completed, self-signed and signed by the host institution ERASMUS+ 2021-2027 traineeship extension form,
- self-signed and approved by the host institution LA part of “DURING THE MOBILITY”
and notifies, via email, the IRD and the relevant coordinator about this fact.
- Within 5 working days of receiving the notification, the coordinator approves the form and the LA section „DURING THE MOBILITY”. Then, they forward the form to the deputy dean for student affairs/plenipotentiary of the Rector of the US for doctoral studies/Deputy or Director of the DS (not applicable to graduates and persons realizing the traineeship during summer holidays) for approval, and upon approval, sends the form and the approved LA section „DURING THE MOBILITY” to the IRD by internal mail. If the coordinator does not accept the change, they shall immediately notify the IRD.
- Upon receipt of the approved documents, the IRD sends the participant in an electronic form the following documents:
- certificate in English for extension of stay,
- certificate to the National Health Fund for the renewal of insurance/EHIC,
- LA and form with signatures of the relevant coordinator/deputy dean/plenipotentiary/deputy director of the DS.
- The participant takes care of matters related to insurance and attaches scans of the required insurances for the extended period of mobility to the DA and notifies IRD by e-mail.
- The IRD sends the student/doctoral student/graduate an electronic addendum to the scholarship agreement concerning the extension of stay.
- The participant sends back the scholarship agreement addendum signed in duplicate to the IRD (original document).
- The participant extending their stay does not receive funding for the extended period of the traineeship. A subsidy may be granted in case of a financial reserve of funds in the given project.
- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:

- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:
- If applicable: LA section „DURING THE MOBILITY” approved (signed) by the home faculty/DS and the host institution – original to the IRD,
- LA section “BEFORE THE MOBILITY” and “AFTER THE MOBILITY” approved by the host institution – original to the IRD.
Date of issue of (O)LA “after the mobility” or certificate of stay should not be earlier than last day of mobility.
- The participant is required to complete an on-line survey about their stay at the scholarship to which they shall receive a link from the relevant European Commission system.
- The student/doctoral student returning from a scholarship stay is also obliged to contact the coordinator of their home faculty/DS and settle/credit the stay at the US.
- Recognition of students’/doctoral students’ period of stay abroad as equivalent to their stay at their home institution is done in accordance with the Rules and Regulations of Studies/Doctoral Studies/DS.
- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:

The application should include the following documents: confirming the entitlement to the US social scholarship, confirming the degree of disability and the language certificates/entitlements held.
In case of students studying at the 3rd year of the first cycle who plan to realize their mobility from faculty other than their current one, at which they plan to continue their studies at the second cycle, have to additionally upload into the DA a scan of dean’s office of their current faculty confirmation of their grade point average for the last completed semester of study and a declaration, according to the US template, of plans to continue their education at the faculty from which they apply.
A student/doctoral student may apply for a maximum of three traineeship within one academic year.

- in case of students/doctoral students in their final year of studies who complete their traineeships during the academic year – the supervisor’s consent to their mobility,
- documents providing evidence of the insurance coverage required: obligatorily health insurance, accident insurance, and third party liability insurance,
- in case of recent graduates – a signed blank promissory note accompanied by a signed promissory note agreement.
- Learning Agreement for Traineeship (LA); validated with all signatures:
- delivering to the IRD the full original of the LA and, in case of recent graduates, the original blank promissory note together with the promissory note agreement.
- attaching scans of the following documents in the DA:

- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:
- a completed, self-signed and signed by the host institution ERASMUS+ 2021-2027 traineeship extension form,
- self-signed and approved by the host institution LA part of “DURING THE MOBILITY”
and notifies, via email, the IRD and the relevant coordinator about this fact.
- Within 5 working days of receiving the notification, the coordinator approves the form and the LA section „DURING THE MOBILITY”. Then, they forward the form to the deputy dean for student affairs/plenipotentiary of the Rector of the US for doctoral studies/Deputy or Director of the DS (not applicable to graduates and persons realizing the traineeship during summer holidays) for approval, and upon approval, sends the form and the approved LA section „DURING THE MOBILITY” to the IRD by internal mail. If the coordinator does not accept the change, they shall immediately notify the IRD.
- Upon receipt of the approved documents, the IRD attaches the scans of the following documents in the DA:
- certificate in English for extension of stay,
- certificate to the National Health Fund for the renewal of insurance/EHIC,
- LA and form with signatures of the relevant coordinator/deputy dean/plenipotentiary/deputy director of the DS.
- The participant takes care of matters related to insurance and attaches scans of the required insurances for the extended period of mobility to the DA and notifies IRD by e-mail.
- The IRD sends the student/doctoral student/graduate an electronic addendum to the scholarship agreement concerning the extension of stay.
- The participant sends back the scholarship agreement addendum signed in duplicate to the IRD (original document).
- The participant extending their stay does not receive funding for the extended period of the traineeship. A subsidy may be granted in case of a financial reserve of funds in the given project.
- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:

- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:

Date of issue of (O)LA “after the mobility” or certificate of stay should not be earlier than last day of mobility.
- The participant is required to complete an on-line survey about their stay at the scholarship to which they shall receive a link from the relevant European Commission system.
- The student/doctoral student returning from a scholarship stay is also obliged to contact the coordinator of their home faculty/DS and settle/credit the stay at the US.
- Recognition of students’/doctoral students’ period of stay abroad as equivalent to their stay at their home institution is done in accordance with the Rules and Regulations of Studies/Doctoral Studies/DS.
- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:

Mobility in 2024/2025

- The following persons are eligible for traineeship in the Erasmus+ programme:
- formally registered at the University of Szczecin (US) as students in a field of study leading to a bachelor’s/engineer’s or master’s degree or as participants in doctoral studies/doctoral students at the Doctoral School of the University of Szczecin (DS),
- those, who have graduated from the US, so called recent graduates – under the condition of entering the qualification in the last year of studies and completing the traineeship within 12 months from graduation from the studies/DS,
- those, who successfully passed the recruitment process and were qualified for the mobility.
- During the Erasmus+ traineeship mobility, the student/doctoral student may not take the diploma examination/defence of the diploma/doctoral thesis.
- The traineeship mobility can be carried out in institutions registered in countries participating in the Erasmus+ programme, so called programme countries, included in the Programme Guide.
- Institutions where the traineeship can be carried out are e.g. universities, scientific institutes, research institutions, educational institutions, enterprises, church organisations, associations, political parties, NGOs etc. The traineeship cannot be carried out in the institutions of the European Union, institutions managing Union programmes listed at https://europa.eu/european-union/about-eu/institutions-bodies_en. The traineeship cannot be carried out in an institution in which the student/doctoral student/graduate is employed, which they manage, own or co-own.
- The traineeship period lasts from 2 to 12 months and is carried out within the academic year. The traineeship must be started and completed between 01/07/2024 and 31/07/2025. The traineeship is carried out on a continuous basis, i.e. without breaks.
- Students/doctoral students/graduates should be guaranteed recognition of the period of traineeship completed at the partner institution. As a rule, the traineeship is recognised by entering information about the realisation of the traineeship in the diploma supplement in the section concerning additional achievements (recognition of the Erasmus+ traineeship as an optional one), although the possibility of an alternative recognition of the traineeship as a compulsory one in the programme of studies/DS is not excluded.
- A traineeship mobility within the Erasmus+ programme can be realised several times in the entire period of study, with the maximum total duration of study period and/or traineeship being 12 months at each cycle of study (1st, 2nd, or 3rd cycle), and in case of a student of a uniform master’s degree programme – 24 months. In each case, the period when a student/doctoral student stayed as a scholarship holder in the LLP-Erasmus or Erasmus+ (with or without a scholarship) will be deducted from the maximum total duration.
- The mobility must be carried out in accordance with the rules laid down in the newest available Erasmus+ Programme Guide and with the guidelines of the National Agency of the programme in Poland – Foundation for the Development of the Education System (FDES): https://erasmusplus.org.pl/sektory/szkolnictwo-wyzsze/akcja-1-mobilnosc-edukacyjna.
- The following persons are eligible for traineeship in the Erasmus+ programme:

- The basic qualification criteria are as follows:
- academic performance – grade point average for the last completed semester of study: minimum 3.0.
- knowledge of the language of the traineeship, at least level B1 according to the Common European Framework of Reference for Languages (CEFR).
- Qualification for traineeship mobility in the Erasmus+ programme is carried out in two stages:
- qualification conducted at the faculty from which the student/doctoral student will want to go abroad, by the coordinators for international exchange or in SD by the coordinator of the doctoral school for international exchange (hereinafter “coordinator/s”),
- verification of knowledge of the foreign language in which the traineeship will be carried out.
- The qualification applies to one course of study, so students registered in several courses are obliged to settle the question of their absence in the manner adopted in the given faculty (individual study organisation, dean’s leave).
- Basic faculty qualification takes place between 09/01/2024 and 16/02/2024 (until 15:00). The first additional qualification is carried out between 17/04 and 08/05/2024 (until 15:00) and the second additional qualification is carried out between 30/10 and 13/11/2024 (until 15:00).
- Persons participating in the qualification fill in the on-line application form in the DreamApply (DA) system. The application should include the following documents: confirming the entitlement to the US social scholarship, confirming the degree of disability and the language certificates/entitlements held.
In case of students studying at the 3rd year of the first cycle who plan to realize their mobility from faculty other than their current one, at which they plan to continue their studies at the second cycle, have to additionally upload into the DA a scan of dean’s office of their current faculty confirmation of their grade point average for the last completed semester of study and a declaration, according to the US template, of plans to continue their education at the faculty from which they apply.
A student/doctoral student may apply for a maximum of three traineeship within one academic year. - The grade point average is completed by the dean’s office in the DA. Eligibility is decided by a selection committee at the faculty level or within the DS consisting of three persons (when the number of coordinators in a faculty is less than three), or five persons (when there are three or more designated coordinators in a faculty), including:
- in case of the faculties of the US – all coordinators appointed for the disciplines taught by a given faculty and the Deputy Dean for Student Affairs/Dean of a given faculty,
- in case of the DS – the DS Coordinator and the Director/Deputy Director of the DS, the Rector’s departmental plenipotentiaries for doctoral studies.
The qualification results will be published no sooner than 08/03/2024 for the basic qualification, no sooner than 20/05/2024 for the additional qualification, and no sooner than 25/11/2024 for the second additional qualification.
- The candidate has the right to appeal against the decision of the Committee within 5 working days of the announcement of the result of the qualification, to the Vice-Rector for Organisation, whose decision is final.
- Those who have successfully passed the qualification at the faculty/DS level, proceed to the foreign language verification in the mode determined by the IRD.
- The qualified persons are informed by IRD (contact person for SMT) about further formalities and documents related to the traineeship. Information is provided by e-mail and/or via the DA.
- The qualified students are informed by the IRD about the possibility of taking the test and course on the Online Language Support (OLS) platform.
- The basic qualification criteria are as follows:

- Those, who are going to a traineeship at international institutions receive funding in the form of a grant, the monthly rate of which depends on the destination country of the mobility. The scholarship is only paid for the duration of physical stay in the host institution’s country*, and the minimum stay is 2 months. A participant pursuing a part of the traineeship remotely/on-line/in virtual form from their home country (without going abroad) is not entitled to a grant for that period of study.
An exchange planned entirely in a remote/on-line/virtual form from the home country (without going abroad) is not justified under the Erasmus+ programme - Rates for long-term student traineeship mobility in programme countries:

Additionally, they can apply for additional individual support for subsistence costs for up to an additional 4 days of travel.
Green travel settlement rules are available on the website of the IRD. - Applicants who document in their DA application that at the time of qualification they are entitled by the US to a social scholarship and/or have a confirmed degree of disability, receive individual support at an increased rate of an additional 250 €/month, regardless of the destination country.

- The scholarship period is specified in the scholarship agreement concerning the mobility and the maximum period of stay in the host institution co-financed by the university is 3 months (90 days). Co-financing of the “green travel” is not included in the period of stay at the host institution.
- The scholarship is awarded to qualified applicants in the order in which the set of documents specified in par. 29 is delivered to the IRD (the date on which the last of the set of documents is received is decisive) until the funds allocated to the US by the FDES are exhausted.
- The grant/individual support awarded to the participant constitutes a grant aimed at equalizing the difference between the cost of living in the country and the cost of living in the country of the host institution. The grant does not cover the full costs of a stay abroad.
* Final duration of stay is calculated on the basis of the confirmation issued by the host institution at the end of mobility. The scholarship cannot be increased after the end of mobility. If the confirmed mobility period is longer than the financed mobility period specified in the scholarship agreement, any additional days are recognized as unfunded duration days.

- A person qualified for the mobility becomes a formal beneficiary of the Erasmus+ programme – traineeship mobility by signing a scholarship agreement (hereinafter: a participant).
- The participant signs a scholarship agreement with the home university at least 14 days before the planned start date of mobility.
- Mobility planned by the participant to their home country may be carried out if there are no other applicants for mobility.
- The conditions for signing a scholarship agreement are as follows:

- in the form of an e-mail in which the protocol is a pasted section (not attached) with pre-completed confirmations from the entire commission
sent to the contact person by the president of the committee no later than by 23/02/2023 for the basic qualification and no later than by 18/05/2023 for the first additional qualification and by 23/11/2023 for the second additional qualification.

- Persons qualified in the basic qualification will not have priority for awarding funds over those qualified in the additional qualifications.
- Funding for extensions of stay may be granted after funding has been granted for the basic period of stay as defined in par. 22 of these rules.
- The grant/individual support awarded to the participant constitutes a grant aimed at equalizing the difference between the cost of living in the country and the cost of living in the country of the host institution. The grant does not cover the full costs of a stay abroad.
- As far as possible and as needed, the university will endeavour to increase the amount of funds for student/doctoral student/graduate traineeships mobility (SMT) by transferring from the pool of funds allocated to support mobility (OS), by applying for additional funds allocated by the FDES in the redistribution process.
- Those, who are going to a traineeship at international institutions receive funding in the form of a grant, the monthly rate of which depends on the destination country of the mobility. The scholarship is only paid for the duration of physical stay in the host institution’s country, and the minimum stay is 2 months. A participant pursuing a part of the traineeship remotely/on-line/in virtual form from their home country (without going abroad) is not entitled to a grant for that period of study.

- A person qualified for the mobility becomes a formal beneficiary of the Erasmus+ programme – traineeship mobility by signing a scholarship agreement (hereinafter: a participant). The agreement is the basis for the transfer of the scholarship amount to the bank account number provided in the DA application form. The contract specifies the rate and the total amount of the grant received, the date of stay, the financing period and the mutual obligations of the participant and the home university.
- Students/doctoral students/graduates eligible for realizing a traineeship under the Erasmus+ programme independently contact the institutions of their choice (taking into account what types of institutions are excluded from the implementation of this action).
- The participant signs a scholarship agreement with the home university at least 14 days before the planned start date of mobility.
- Mobility planned by the participant to their home country may be carried out if there are no other applicants for mobility. Students going to their country of origin are less likely to acquire additional cultural, social, and language competences.
- The conditions for signing a scholarship agreement are as follows:
- attaching scans of the following documents in the DA:
- Learning Agreement for Traineeship (LA); validated with all signatures:
- student/doctoral student/graduate,
- a relevant US coordinator,
- a representative of a host institution.
The Learning Agreement for Traineeships is a substantive document based on which the traineeship at the home university is recognised.
Students/doctoral students are advised to leave one copy of the LA in the dean’s office. - in case of realisation of a part or all of the traineeship during the academic year – a consent of the home faculty/DS to the student’s mobility in the specified period and to the manner in which the student will be credited for the period of studies during which the traineeship was carried out, or a certificate from the dean’s office/a scan of the diploma with the date of the diploma examination/thesis defence – in case of recent graduates,
- in case of realisation of the whole traineeship in a period other than during the academic year – a document confirming the status of a student of the US in the academic year 2023/2024 issued by the dean’s office of the relevant faculty/DS or a certificate from the dean’s office/a scan of the diploma with the date of the diploma exam/thesis defence – in case of recent graduates,
- in case of students/doctoral students in their final year of studies who complete their traineeships during the academic year – the supervisor’s consent to their mobility,
- documents providing evidence of the insurance coverage required: obligatorily health insurance, accident insurance, and third party liability insurance,
- information from the host institution – in which form the traineeship will be carried out, the on-line/remote form does not justify the necessity to leave; the necessity to carry out mobility in a physical form/on-site, i.e. with the necessity to leave results from the confirmation by the host institution that at least some duties will have to be performed in a traditional form, i.e. with the necessity to stay on-site,
- in case of recent graduates – a signed blank promissory note accompanied by a signed promissory note agreement.
- Learning Agreement for Traineeship (LA); validated with all signatures:
- delivering to the IRD the full original of the LA and, in case of recent graduates, the original blank promissory note together with the promissory note agreement.
- attaching scans of the following documents in the DA:
- Before the beginning of the mobility, the student/doctoral student/graduate is obliged to take a language test in the Online Language Support (OLS) platform.

- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:
- a completed, self-signed and signed by the host institution ERASMUS+ 2021-2027 traineeship extension form,
- self-signed and approved by the host institution LA part of “DURING THE MOBILITY”
and notifies, via email, the SMT contact person at the IRD and the relevant coordinator about this fact.
- Within 5 working days of receiving the notification, the coordinator approves the form and the LA section „DURING THE MOBILITY”. Then, they forward the form to the Deputy Dean for Student Affairs/Plenipotentiary of the Rector of the US for Doctoral Studies/Deputy or Director of the DS (not applicable to graduates and persons realizing the traineeship during summer holidays) for approval, and upon approval, sends the form and the approved LA section „DURING THE MOBILITY” to the IRD by internal mail. If the coordinator does not accept the change, they shall immediately notify the IRD (SMT contact person).
- Upon receipt of the approved documents, the IRD attaches the scans of the following documents in the DA:
- certificate in English for extension of stay,
- certificate to the National Health Fund for the renewal of insurance/EHIC,
- LA and form with signatures of the relevant coordinator/deputy dean/plenipotentiary/deputy director of the DS.
- The participant takes care of matters related to insurance and attaches scans of the required insurances for the extended period of mobility to the DA and notifies IRD (SMT contact person) by e-mail.
- The IRD sends the student/doctoral student/graduate an electronic addendum to the scholarship agreement concerning the extension of stay.
- The participant sends back the scholarship agreement addendum signed in duplicate to the IRD (original document).
- The participant extending their stay does not receive funding for the extended period of the traineeship. A subsidy may be granted in case of a financial reserve of funds received from the National Agency of the Erasmus+ Programme or in case the US obtains additional funds, respecting the principle of equal treatment of all students.
- A participant one month (30 days) before the end of the scholarship stay specified in the agreement shall enclose scans of the following documents in the DA:

- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:
- If applicable: LA section „DURING THE MOBILITY” approved (signed) by the home faculty/DS and the host institution – original to the IRD,
- LA section “AFTER THE MOBILITY” approved by the host institution – original to the IRD.
- The participant is required to complete an on-line survey about their stay at the scholarship to which they shall receive a link from the relevant European Commission system.
- The student/doctoral student returning from a scholarship stay is also obliged to contact the coordinator of their home faculty/DS and settle/credit the stay at the US.
- Recognition of students’/doctoral students’ period of stay abroad as equivalent to their stay at their home institution is done in accordance with the Rules and Regulations of Studies/Doctoral Studies/DS.
- The start date of the stay as recognised/accounted for by the US cannot be earlier than the date the participant signs the scholarship agreement.
- Within two weeks of the end date of the scholarship period, the participant must provide the following documents:

Mobility in 2022/2023
-
- The following persons are eligible for traineeship in the Erasmus+ programme:
- formally registered at the University of Szczecin (US) as students in a field of study leading to a bachelor’s/engineer’s or master’s degree or as participants in doctoral studies/doctoral students at the Doctoral School of the University of Szczecin (DS),
- those, who have graduated from the US, so called recent graduates – under the condition of entering the qualification in the last year of studies and completing the traineeship within 12 months from graduation from the studies/DS,
- those, who successfully passed the recruitment process and were qualified for the mobility.
- During the Erasmus+ traineeship mobility, the student/doctoral student may not take the diploma examination/defence of the diploma/doctoral thesis.
- The traineeship mobility can be carried out in institutions registered in countries participating in the Erasmus+ programme, so called programme countries and partner countries included in the Programme Guide.
- Institutions where the traineeship can be carried out are e.g. universities, scientific institutes, research institutions, educational institutions, enterprises, church organisations, associations, political parties, NGOs etc. The traineeship cannot be carried out in the institutions of the European Union, institutions managing Union programmes listed at https://europa.eu/european-union/about-eu/institutions-bodies_en.
- The traineeship period lasts from 2 to 12 months and is carried out within the academic year. The traineeship must be started and completed between 01 August 2022 and 30 September 2023. The traineeship is carried out on a continuous basis, i.e. without breaks.
- Students/doctoral students/graduates should be guaranteed recognition of the period of traineeship completed at the partner institution. As a rule, the traineeship is recognised by entering information about the realisation of the traineeship in the diploma supplement in the section concerning additional achievements (recognition of the Erasmus+ traineeship as an optional one), although the possibility of an alternative recognition of the traineeship as a compulsory one in the programme of studies/DS is not excluded.
- A traineeship mobility within the Erasmus+ programme can be realised several times in the entire period of study, with the maximum total duration of study period and/or traineeship being 12 months at each cycle of study (1st, 2nd, or 3rd cycle), and in case of a student of a uniform master’s degree programme – 24 months. In each case, the period when a student/doctoral student stayed as a scholarship holder in the LLP-Erasmus or Erasmus+ (with or without a scholarship) will be deducted from the maximum total duration.

- The following persons are eligible for traineeship in the Erasmus+ programme:

- The basic qualification criteria are as follows:
- academic performance – grade point average for the last completed semester of study – minimum 3.0.
- knowledge of the language of the traineeship, at least level B1 according to the Common European Framework of Reference for Languages (CEFRL).
- Qualification for traineeship mobility in the Erasmus+ programme is carried out in two stages:
- Qualification conducted at the faculty from which the student’s/doctoral student’s wants to realize their mobility by the coordinators for international exchange or at the DS by the Doctoral School coordinator for international exchange,
- Verification of knowledge of the foreign language in which the traineeship will be carried out.
Information on dates and eligibility criteria is generally available to potential candidates for mobility and is announced by the faculty, among others, by posting information on the website.
- The qualification applies to one course of study, so students registered in several courses are obliged to settle the question of their absence in the manner adopted in the given faculty (individual study organisation, dean’s leave).
- The basic faculty qualification takes place between 01 February 2022 and 14 March 2022. Additional qualification is carried out between 01 and 23 May 2022.
- Persons taking part in the qualification shall complete an on-line application form in the DreamApply system (DA). The application should include documents: confirming entitlement to a social scholarship at the US, confirming the degree of disability. In case of students studying at the 3rd year of the first cycle who plan to realize their mobility from faculty other than their current one, at which they plan to continue their studies at the second cycle, have to additionally upload into the DA a scan of dean’s office of their current faculty confirmation of their grade point average for the last completed semester of study and a declaration, according to the US template, of plans to continue their education at the faculty from which they apply.
Students/doctoral students may apply for a maximum of three traineeships within one academic year. - The grade point average is completed by the Dean’s Office in the DA. Eligibility is decided by a selection committee at the faculty level or within the DS consisting of three persons (when the number of coordinators in a faculty is less than three), or five persons (when there are three or more designated coordinators in a faculty), including:
- in case of the faculties of the US, all exchange coordinators appointed for the disciplines taught by a given faculty and the Deputy Dean for Student Affairs/Dean of a given faculty,
- in case of the DS – the DS Coordinator for International Exchange and the Director/Deputy Director of the DS, the Rector’s departmental plenipotentiaries for doctoral studies.
The committee should appoint its president. The committee’s eligibility decision is made by assigning a „nominee” status in the DA and creating committee protocol according to an approved template. The protocol of the committee meeting is provided to the International Relations Department (IRD) in electronic form in both variants:
- Excel file generated on the basis of data from the DA,
- in the form of an e-mail in which the protocol is a pasted section (not attached) with pre-completed confirmations from the entire commission,
sent to the contact person by the president of the committee no later than by 21 March 2022 for the basic qualification and no later thanby 07 June 2022 for the additional qualification.
- The candidate has the right to appeal against the decision of the Committee within 5 working days of the announcement of the result of the qualification, to the Vice-Rector for Organisations, whose decision is final.
- Those who have successfully passed the qualification at the Faculty/DS level, proceed to the foreign language verification in the mode determined by the IRD.
- Qualified persons are informed by the IRD – the contact person for traineeships in the Erasmus+ programme: programme countries – about further formalities and documents regarding the mobility. Information is provided by email and/or through the DA.
- The basic qualification criteria are as follows:

Due to delays in publishing of the documents regarding the project KA131-2022 by the European Commission and the National Agency, long-term mobilities for studies (SMS) and traineeship (SMT) in the academic year 2022/23 will be financed from the KA131-2021 project, i.e. according to the point III. Financial aspects of the Rules for the a. y. 2021/22.
After the publication of the relevant documents by the EC/NA and their preparation by the Institutional Erasmus+ Coordinator, the financial rules published for the a. y. 2022/23 will come into force.
Qualified persons will be informed of changes in the financing rules by email.
- Those, who are going to a traineeship at international institutions receive funding in the form of a grant, the monthly rate of which depends on the destination country of the mobility. Additionally, they receive an additional individual support for up to an additional 4 days of travel for round mobility, if applicable.
Green travel settlement rules are available on the website of the IRD. - Applicants who document in their DA application that at the time of qualification they are entitled by the US to a social scholarship and/or have a confirmed degree of disability, receive individual support at an increased rate of an additional € 250/month, regardless of the destination country.

- The period of co-financing is specified in the scholarship agreement for the mobility, with the maximum period of stay in the partner institution co-financed by the US is 3 months (90 days). Co-financing of the “green travel” journey is not included in the period of stay in the partner institution.
- The scholarship is awarded to qualified applicants in the order in which the set of documents specified in par. 32 is delivered to the IRD (the date on which the last of the set of documents is received is decisive) until the funds allocated to the US by the FDES are exhausted.
- Applicants qualified in the basic qualification will not be given priority for allocation over applicants qualified in the additional qualification.
- Funding for extensions of stay may be granted after funding has been granted for the basic period of stay as defined in par. 22 of these rules.
- The grant/individual support awarded to a participant is a subsidy to compensate for the difference between the cost of living in their home country and the cost of living in the host institution country. It is not assumed that the grant covers the full costs associated with the stay abroad.
- As far as possible, the university will endeavour to increase the amount of funds for student/doctoral student/graduate traineeships mobility (SMT) by transferring from the pool of funds allocated to support mobility (OS), by applying for additional funds allocated by the FDES in the redistribution process.

- in case of students/doctoral students in their final year of studies who complete their traineeships during the academic year – the supervisor’s consent to their mobility, if applicable;

- in case of recent graduates – a signed blank promissory note accompanied by a signed promissory note agreement.

- The student/doctoral student/graduate sends back the scholarship agreement addendum signed in duplicate to the IRD (original copy of the document).
- The student/doctoral student/graduate extending their stay does not receive funding for the extended period of the traineeship. In the absence of an exemption from the placement test, qualified persons will take the on-line tests on the following dates:- 05-11.12.2022 test in basic version, the result will be given by 16/12/2022, with a positive result the traineeship is possible from 01.01.2023;
- 09-15.01.2023 retake test version, the result is given by 20/01/2023, with a positive result the traineeship is possible from .
- Qualified persons are informed by the IRD – the contact person for traineeships in the Erasmus+ programme: programme countries – about further formalities and documents regarding the mobility. Information is provided by email and/or through the DA.
In other matters, the following apply:

Mobility in 2021/2022

- The following persons are eligible for traineeship in the Erasmus+ programme:
- formally registered at the University of Szczecin as students in a field of study leading to a bachelor’s/engineer’s or master ‘s degree or as participants in doctoral studies/doctoral students at the Doctoral School of the University of Szczecin,
- those, who have graduated from the University of Szczecin, so called recent graduates – under the condition of entering the qualification in the last year of studies and completing the traineeship within 12 months from graduation from the studies/Doctoral School of the University of Szczecin,
- those, who successfully passed the recruitment process and were qualified for the mobility.
- During the Erasmus+ traineeship mobility, the student/doctoral student may not take the diploma examination/defence of the diploma/doctoral thesis.
- The traineeship mobility can be carried out in institutions registered in countries participating in the Erasmus+ programme, so called programme countries and partner countries included in the Programme Guide.
- Institutions where the traineeship can be carried out are e.g. universities, scientific institutes, research institutions, educational institutions, enterprises, church organisations, associations, political parties, NGOs etc. The traineeship cannot be carried out in the institutions of the European Union, institutions managing Union programmes listed at https://europa.eu/european-union/about-eu/institutions-bodies_en.
- The traineeship period lasts from 2 to 12 months and is carried out within the academic year. The traineeship must be started and completed between 01 September 2021 and 30 September 2022. The traineeship is carried out on a continuous basis, i.e. without breaks.
- Students/doctoral students and graduates should be guaranteed recognition of the period of traineeship completed at the partner institution. As a rule, the traineeship is recognised by entering information about the realisation of the traineeship in the Diploma Supplement in the section concerning additional achievements (recognition of the Erasmus+ traineeship as an optional one), although the possibility of an alternative recognition of the traineeship as a compulsory one in the programme of studies/Doctoral School of the University of Szczecin is not excluded.
- A traineeship mobility within the Erasmus+ programme can be realised several times in the entire period of study, with the maximum total duration of study period and/or traineeship being 12 months at each cycle of study (1st, 2nd, or 3rd cycle), and in case of a student of a uniform master’s degree programme – 24 months.
- In each case, the period when a student/doctoral student stayed as a scholarship holder in the LLP-Erasmus or Erasmus+ (with or without a scholarship) will be deducted from the maximum total duration.

- The following persons are eligible for traineeship in the Erasmus+ programme:

- The basic qualification criteria are as follows:
- academic performance – grade point average for the last completed semester of study – minimum 3.0.
- knowledge of the language of the traineeship, at least level B1 according to the Common European Framework of Reference for Languages (CEFR).
- Qualification for traineeship mobility in the Erasmus+ programme is carried out in two stages:
- Qualification conducted at the student’s/doctoral student’s home faculty by the International Exchange Coordinator or at the Doctoral School of the University of Szczecin by the Doctoral School Coordinator for International Exchange,
- Verification of knowledge of the foreign language in which the traineeship will be carried out.
Information on dates and eligibility criteria is generally available to potential candidates for mobility and is announced by the faculty, among others, by posting information on the website.
- The qualification applies to one course of study, so students registered in several courses are obliged to settle the question of their absence in the manner adopted in the given faculty (individual study organisation, dean’s leave).
- The basic faculty qualification takes place between 08 February 2021 and 14 March 2021. Additional qualification shall be carried out between 01 and 23 May 2021.
- Persons taking part in the qualification shall complete an on-line application form in the DreamApply available on the website of the International Office. The application should include documents: confirming entitlement to a social scholarship at the University of Szczecin, confirming the degree of disability.
- The grade point average is completed by the Dean’s Office in the DreamApply system. Eligibility is decided by a selection committee at the faculty level or within the Doctoral School of the University of Szczecin consisting of three persons (when the number of coordinators in a faculty is less than three), or five persons (when there are three or more designated coordinators in a faculty), including:
- in case of the faculties of the University of Szczecin, all exchange coordinators appointed for the disciplines taught by a given faculty and the Deputy Dean for Students/Dean of a given faculty,
- in case of the Doctoral School of the University of Szczecin – the Doctoral School Coordinator for International Exchange and the Director/Deputy Director of the Doctoral School of the University of Szczecin, the Rector’s departmental plenipotentiaries for doctoral studies.
The committee should appoint its president. The committee’s eligibility decision is made by assigning a “nominee” status in the DreamApply system and creating committee protocol according to an approved template. The protocol of the committee meeting is provided to the International Office in electronic form in both variants:
- excel file generated on the basis of data from the DreamApply system
- in the form of an e-mail in which the protocol is a pasted section (not attached) with pre-completed confirmations from the entire commission,
sent to the contact person by the president of the committee no later than by 21 March 2021 for the basic qualification and no later than by 07 June 2021 for the additional qualification.
- The candidate has the right to appeal against the decision of the Committee within 5 working days of the announcement of the result of the qualification, to the Vice-Rector for Organisations, whose decision is final.
- Those who have successfully passed the qualification at the Faculty/Doctoral School of the University of Szczecin level, proceed to the foreign language verification in the mode determined by the International Office.
- Qualified students are informed by the International Office– the contact person for traineeships in the Erasmus+ programme: programme countries – about further formalities and documents regarding the mobility (drawing up a Learning Agreement for Traineeships, obtaining consent of the home faculty to the mobility, required insurance coverage). Information is provided by email and/or through the DreamApply system.
- The basic qualification criteria are as follows:

- Those, who are going to a traineeship at international institutions receive funding in the form of a grant, the monthly rate of which depends on the destination country of the mobility. The scholarship is only paid for the duration of stay in the host institution’s country, and the minimum stay is 2 months. A participant pursuing a traineeship or part of a traineeship remotely/on-line/in virtual from their home country (without going abroad) is not entitled to a grant for that period of study.

- If the round mobility is made by low-emission modes of transportation, so-called “green travel”, i.e. the longest part of the journey is made by bus/coach, train or car-sharing, persons eligible for the travel allowance may apply for additional individual support for subsistence costs for up to an additional 4 days of travel and a travel allowance at the “green travel” rate:

“Green travel” needs to be documented: copies of tickets, receipts for accommodation, a statement of the kilometres travelled on the route if the means of transport is shared, other documents proving the costs incurred. - Applicants who document in their DA application that they are entitled by the University of Szczecin to a social scholarship at the time of the realization of the mobility, receive individual support at an increased rate of an additional € 250/month, regardless of the destination country.
- Individuals who document in their DA application that they have a recognised degree of disability receive individual support at an increased rate of an additional €250/month, regardless of the destination country.

- The scholarship period is specified in the scholarship agreement concerning the mobility, the grant is awarded for the number of months specified in the application, with the maximum period of 3 months (90 days) to be co-financed by the university.
- The scholarship is awarded to qualified applicants in the order in which the set of documents specified in par. 38 is delivered to the International Office (the date on which the last of the set of documents is received is decisive) until the funds allocated to the University of Szczecin by the Foundation for the Development of the Education System are exhausted.
- Applicants qualified in the basic qualification will not be given priority for allocation over applicants qualified in the additional qualification.
- Due to the rule resulting from the project implementation conditions stipulating that the expenditure related to the cooperation with partner countries cannot exceed 20% of the total programme budget, a grant for a mobility to a partner country (par. 21 of these rules) may be awarded only after accumulating its value from 20% of all scholarships paid to the programme countries.
- Funding for extensions of stay may be granted after funding has been granted for the basic period of stay as defined in par. 26 of these rules.
- The grant/individual support awarded to a participant is a subsidy to compensate for the difference between the cost of living in their home country and the cost of living in the host institution country. It is not assumed that the grant covers the full costs associated with the stay abroad;
- As far as possible, the university will endeavour to increase the amount of funds for student/doctoral student/graduate traineeships mobility (SMP) by transferring from the pool of funds allocated to support mobility (OS), by applying for additional funds allocated by the Foundation for the Development of the Education System in the redistribution process.

- A person qualified for the mobility becomes formally a beneficiary of the Erasmus+ programme – traineeship mobility by signing a scholarship agreement. The agreement is the basis for the transfer of the grant amount to the bank account number provided in the DreamApply application form. The rate and total amount of the grant received, the duration of the stay (if physical/on-site mobility), the funding period and the mutual obligations of the student and the home university are specified in the agreement.
- Students/doctoral students/graduates entitled to traineeships within the Erasmus Programme contact the institutions of their choice independently (taking into account what kind of institutions are excluded from this action).
- The participant signs a scholarship agreement with the home university at least 14 days before the planned start date of mobility.
- Mobility planned by the participant to their home country may be carried out if there are no other applicants for mobility. Students going to their country of origin are less likely to acquire additional cultural, social, and language competences.
- It is recommended that students/doctoral students/graduates leave 1 copy of the Learning Agreement for Traineeships with the Dean’s Office.
- The condition for signing the scholarship agreement is:
- attaching scans of the following documents in the DreamApply system:
- a paper Learning Agreement document; validated with all signatures:
- student/doctoral student/graduate,
- responsible International Exchange Coordinators in the faculty of the University of Szczecin or in the Doctoral School,
- a representative of a host institution.
The Learning Agreement for Traineeships is a substantive document based on which the traineeship at the home university is recognised.
- in case of [realisation of] a part or all of the traineeship during the academic year – a consent of the home faculty/Doctoral School of the University of Szczecin to the student’s mobility in order to complete the traineeship within a specified period and to the manner in which the student will be credited for the period of studies during which the traineeship was carried out, or a certificate from the Dean’s Office of the University of Szczecin/a scan of the diploma with the date of the diploma examination/thesis defence – in case of recent graduates
- in case of realisation of the whole traineeship in a period other than during the academic year: a document confirming the status of a student of the University of Szczecin in the academic year 2021/2022 issued by the Dean’s Office of the relevant faculty/Doctoral School of the University of Szczecin or a certificate from the Dean’s Office of the University of Szczecin/a scan of the diploma with the date of the diploma exam/thesis defence – in case of recent graduates,
- students/doctoral students in their final year of studies who complete their traineeships during the academic year are additionally required to enclose the supervisor’s consent to their mobility;
- in case of mobility involving travel, documents providing evidence of the insurance coverage required: obligatorily health insurance, accident insurance, covering medical transport, and third party liability insurance;
- in case of mobility carried out only remotely/on-line, the student/doctoral student/graduate is obliged to have a third-party insurance for the duration of the mobility if it is required by the host institution;
- information from the host institution – in which form the traineeship will be carried out, the on-line/remote form does not justify the necessity to leave; the necessity to carry out mobility in a physical form/on-site, i.e. with the necessity to leave results from the confirmation by the host institution that at least some duties will have to be performed in a traditional form, i.e. with the necessity to stay on-site;
- if applicable: certificate concerning the degree of disability, certificate concerning the social scholarship received in the academic year in which the mobility is being made;
- in case of recent graduates: a signed blank promissory note accompanied by a signed promissory note declaration.
- a paper Learning Agreement document; validated with all signatures:
- delivering to the International Office the full original of the Learning Agreement for Traineeships and, in case of recent graduates, the original blank promissory note together with the promissory note declaration [agreement].
- attaching scans of the following documents in the DreamApply system:
- Before going on the scholarship, the student/doctoral student/graduate is obliged to take a language test in the Online Linguistic Support (OLS) platform.

- The student/doctoral student/graduate shall obtain the host institution’s consent to extend their stay on theERASMUS+2021-2027 traineeship extension form.
- The student/doctoral student/graduate shall attach scans of the following documents in the DreamApply system one month (30 days) before the end date of the scholarship stay specified in the agreement:
- a completed, signed by the student/doctoral student/graduate and accepted by the host institution ERASMUS+ 2021-2027 traineeship extension form;
- Learning Agreement signed by the student/doctoral student[/graduate] and accepted by the host institution paper Learning Agreement, “DURING THE MOBILITY” part;
and notify a contact person for Erasmus+ traineeship mobility at IO via e-mail and the relevant International Exchange Coordinator or the Doctoral School Coordinator for International Exchange.
- Within 5 working days of receiving the notification, the coordinator approves the form and the LA, “DURING THE MOBILITY” part and forwards the documents to the Vice-Dean for Students/Plenipotentiary of the Rector of the University of Szczecin for Doctoral Studies/Deputy or Director of the Doctoral School of the University of Szczecin (not applicable to graduates or trainees doing the traineeship during summer holidays) for approval, and upon approval, sends the form and the approved LA “DURING THE MOBILITY” part to the International Office [in the electronic version (scan) and] by internal mail. If the coordinator does not accept the change, they shall immediately notify the International Office (SMP contact person).
- Upon receipt of the approved documents, the IO attaches the scans of the following documents in the DreamApply system:
- certificate in English for extension of stay
- certificate to the National Health Fund for the renewal of insurance/EHIC card
- Learning Agreement for Traineeships with signatures of the relevant coordinator/deputy dean/plenipotentiary/deputy director of the Doctoral School of the University of Szczecin.
- The student/doctoral student/graduate arranges the insurance (if applicable) and attaches a scan of the EHIC/equivalent insurance card and the accident and personal liability insurance for the extended period of study in the DreamApply system and notifies by e-mail the contact person for Erasmus+ countries in the IO.
- The IO sends the student/doctoral student/graduate an electronic addendum to the scholarship agreement concerning the extension of the stay.
- The student/doctoral student/graduate sends back the scholarship agreement addendum signed in duplicate to the IO (original copy of the document).
- A student/doctoral student/graduate extending a grant stay does not receive funding for the extended period of the traineeship. A subsidy may be granted in case of a financial reserve of funds received from the National Agency of the Erasmus+ Programme or in case the University of Szczecin obtains additional funds, respecting the principle of equal treatment of all students.

- Within two weeks of the end date of the scholarship period, the student/doctoral student/graduate must provide the following documents:
- If applicable: part of the Agreement “DURING THE MOBILITY”, changes to the original Learning Agreement” approved (signed) by the home faculty/Doctoral School of the University of Szczecin and the host institution – original to the IO,
- Part of the Learning Agreement for Traineeships: “Section to be completed AFTER THE MOBILITY” approved by the host institution – original to the IO.
- The student/doctoral student/graduate is required to complete an on-line survey about their stay at the scholarship in the Mobility Tool+ (MT+) system.
- A student/doctoral student returning from a scholarship stay is also obliged to contact the coordinators of their home faculty/Doctoral School and settle/credit the stay at the University of Szczecin.
- Recognition of students’/doctoral students’ period of stay abroad as equivalent to their stay at their home institution is done in accordance with the Rules and Regulations of Studies/Doctoral Studies/Doctoral School at the University of Szczecin.
- The start date of the stay as recognised/accounted for by the University of Szczecin cannot be earlier than the date the student/doctoral student/graduate signs the scholarship agreement.
- Within two weeks of the end date of the scholarship period, the student/doctoral student/graduate must provide the following documents:

- It is hereby decided that par. 1 of the Rules is replaced by the following:
- Students/doctoral students/graduates applying for a lump sum for travel costs resulting from using low-emissions means of transport (so-called „green travel”) for the main part of the travel (for more than a half of the travel distance) shall submit to the International Relations Department a declaration [statement] of the planned itinerary indicating the means of transport.
- Other conditions remain unchanged.
- It is hereby decided that par. 1 of the Rules is replaced by the following:

- Students/doctoral students/graduates applying for a lump sum for travel costs resulting from a return journey of the entire route (and not part of it) by means of low-emission transport (so-called “green travel”) shall submit to the International Office a declaration of the planned itinerary indicating the means of transport.
- The lump sum in question shall be paid together with the other components of the E+ grant in accordance with the declaration submitted.
- The declared method of arrival at the venue shall be confirmed on return as follows:
- Persons travelling by public transport (e.g. bus, coach, railway) are required to upload into DreamApply a scan of their receipts/tickets;
- The date on the uploaded receipt/voucher may not coincide with the date of implementation of the mobility (dates in the financing agreement) nor may the journey take place more than one month (30 days) before the start of the mobility and one month (30 days) after the end of the mobility (the exception is the start/end date of travel, which may be the same as the start/end date of mobility);
- Persons travelling on the basis of a shared car journey (min 2 persons) are obliged to submit a declaration [statement] according to the US model.
- If the trip is not confirmed in the aforementioned way (paragraph 3 of the rules), the student/doctoral student/graduate will be asked to refund the amount resulting from the “green travel” entitlement.

Due to the clarification of the guidelines for the implementation of the Erasmus + 2021-2027 programme, related to the implementation of mobility to partner countries, which state that mobilities to these countries may only be carried out on the basis of a valid inter-institutional agreement between the sending university and the host institution, it is agreed as follows:

The traineeship mobility can be carried out in institutions registered in countries participating in the Erasmus+ programme, so called programme countries.

Persons making the longest parts of the journey by low-emission modes of transportation, so-called “green travel”, i.e. over half of the journey (counting round mobility) is made by bus/coach, train or car-sharing, are entitled to one-time payment of EUR 50 as an additional top-up support for meeting “green travel” requirements. Additionally, they receive an additional individual support for up to an additional 4 days of travel for round mobility, if applicable.
“Green travel” needs to be documented: copies of tickets, receipts for accommodation, a statement of the kilometres travelled on the route if the means of transport is shared, other documents proving the costs incurred.- Other conditions of the Rules remain unchanged.

- The grade point average is completed by the Dean’s Office in the DreamApply system. Eligibility is decided by a selection committee at the faculty level or within the Doctoral School of the University of Szczecin consisting of three persons (when the number of coordinators in a faculty is less than three), or five persons (when there are three or more designated coordinators in a faculty), including:
- in case of the faculties of the University of Szczecin, all exchange coordinators appointed for the disciplines taught by a given faculty and the Deputy Dean for Students/Dean of a given faculty,
- in case of the Doctoral School of the University of Szczecin – the Doctoral School Coordinator for International Exchange and the Director/of the Doctoral School of the University of Szczecin, the Rector’s departmental plenipotentiaries for doctoral studies.

- 13-19.12.2021 II verification round on-line, the results are given no later than 28.12.2021, in the case of a positive result the traineeship is possible from 02.01.2022.

Rules for the implementation of student mobility will be developed and published here after the publication of the Programme Guide by the European Commission (EC) and the publication of guidelines by the National Agency for the programme in Poland – Foundation for the Development of the Education System (NA-FRSE). As the approximate known publication date is March 2021, please refer to the implementation rules for the academic year 2020/21, most of the provisions may remain valid depending on the shape of the new programme.
I. Formal criteria entitling for the mobility
- The following persons are eligible for traineeship in the Erasmus+ programme:
- formally registered at the University of Szczecin as students in the field of study leading to the award of a bachelor’s/engineer’s or master’s degree or as participants in doctoral studies/doctoral students at the Doctoral School of the University of Szczecino,
- those, who graduated from the University of Szczecin, so called recent graduates – under the condition of entering the qualification in the last year of studies and completing the traineeship within 12 months since the graduation from the studies/Doctoral School of the University of Szczecin,
- those, who passed the recruitment process and were qualified for the mobility successfully.
- A traineeship within the Erasmus+ programme can be carried out in institutions registered in countries participating in the Erasmus+ programme, the so-called programme countries.
- Institutions where the traineeship can be carried out are e.g. universities, scientific institutes, research institutions, educational institutions, enterprises, church organisations, associations, political parties, non-governmental organisations and others. The traineeship cannot be carried out in the institutions of the European Union, institutions managing Union programmes listed in https://europa.eu/european-union/about-eu/institutions-bodies_en.
- The traineeship period lasts from 2 to 12 months and is completed within an academic year. The traineeship must commence and be completed between 01 September 2021 and 30 September 2022. The traineeship is carried out on a continuous basis, i.e. without breaks.
- Students/doctoral students should be guaranteed recognition of the period of traineeship completed at the partner institution. As a rule, the traineeship is recognised by entering information about the completed traineeship in the Diploma Supplement in the section on additional achievements (recognition of the Erasmus+ traineeship as optional), although the possibility of an alternative recognition of the traineeship as compulsory in the study programme/doctoral school at the University of Szczecin is not excluded.
- A traineeship in the Erasmus+ programme can be completed several times in the entire period of study, with the maximum total length of stay for a study period and/or traineeship being 12 months at each level of study (I, II or III), or 24 months in the case of a student of a uniform master’s degree programme. In the case of recent graduates, the total length of stay is calculated taking into account the degree of study completed during which the qualification took place.
- In each case, the period for which the student/doctoral student stayed as an LLP-Erasmus or/and Erasmus+ scholarship holder in the past (with or without funding) will be deducted from the maximum total grant period.
- The mobility must take place in accordance with the rules defined in the Guide to the Erasmus + 2021-2027 Programme and with the guidelines of the National Agency for the Programme in Poland – Foundation for the Development of the Education System.
The above criteria are subject to minor changes depending on the rules resulting from paragraph 8 of these criteria.
II. Qualification for the traineeship
- The basic qualification criteria are:
- learning achievements – grade point average for the last completed semester of studies – minimum 3,0.
- knowledge of the language in which the traineeship will be carried out – at least B1 level in accordance with the Common European Framework of Reference for Languages (CEFR).
- The qualification for the traineeship within the Erasmus+ programme is carried out in two stages:
- Qualification conducted at the student’s/doctoral student’s home faculty by International Exchange Coordinators or at the US Doctoral School by the Doctoral School Coordinator for International Exchange,
- Verification of knowledge of the foreign language in which the traineeship will be carried out.
Information about the dates and eligibility criteria should be generally available to potential candidates for the mobility and should be announced by the faculty, among other things, by posting information on the website.
- The qualification relates to one course of study, therefore students registered in several courses are obliged to regulate their absence in a manner adopted at a given faculty (individual curriculum, dean’s leave).
- The basic faculty qualification shall be held from 08 February 2021 to 14 March 2021. Additional qualification is being conducted between 01 and 23 May 2021.
- Applicants who qualify fill out an on-line application form in the DreamApply system available on the International Office website. Documents related to POWER programme eligibility and language certifications/qualifications should be included.
- Grade point average is completed by the Dean’s Office in the DreamApply system. The decision on the qualification is adopted by a selection committee at the faculty level or within the US Doctoral School consisting of three persons (when the number of coordinators appointed in a faculty is not more than three), of five persons (when there are three or more coordinators appointed in a faculty), including:
- in case of faculties of the University of Szczecin – all exchange coordinators appointed for the disciplines taught by a given faculty and the Deputy Dean for Students/Dean of a given faculty,
- • for the Doctoral School of the University of Szczecin – the Coordinator of Doctoral School for International Exchange and the Director of the Doctoral School of the University of Szczecin.
The Commission should designate its president. The committee’s decision on the qualification is made by assigning a “nominee” status in the DreamApply system and creating committee protocol according to an approved template. The protocol of the commission’s meeting together with the ranking list of qualified persons is delivered to the International Office in electronic form in both variants:
- excel file generated from data in DreamApply system
- in the form of an e-mail in which the protocol are a pasted section (not attached) with pre-completed confirmations from the entire commission,
sent to the contact person by the chairman of the committee no later than 21 March 2021 for the basic qualification and no later than 07 June 2021 for the additional qualification.
- A candidate has the right to appeal against the decision of the Committee within 5 working days from the announcement of the qualification result to the Vice-Rector for Organisations, whose decision is final.
- Those, who have successfully passed the qualification at the level of the Faculty/Doctoral School of the University of Szczecin proceed to foreign language verification in the manner prescribed by the International Office.
- Qualified students are informed by the International Office – the contact person for traineeships in the Erasmus+ programme: programme countries – about further formalities and documents regarding the mobility (drawing up a Learning Agreement for Traineeships, obtaining consent of the home faculty to the mobility, required insurance coverage). Information is provided via email and/or through the DreamApply system.

Due to the delays in the implementation of the new Erasmus + programme perspective for 2021-2027, students[/doctoral students] qualified for their mobility in the winter semester of the academic year 2021/2022 under the project KA131-2021 will receive individual support from the project KA103-2020. The solution will apply until the National Agency in Poland publishes final guidelines for realization of mobility in the new perspective, including templates of agreement with beneficiaries in the project 2021.
