FAQ for outgoing staff
We invite you to read the Rules for implementing mobilities and the instructions for using the DreamApply system, which explain step by step how to submit an application in the system.

At the selection stage, it is not necessary to specify the exact mobility dates. It is sufficient to provide the planned number of days. The mobility dates can be determined immediately before signing the grant agreement (3 weeks before departure).

The programme cannot be changed, as it was assessed by the selection committee and the selection was made on the basis of this programme and the applicant’s position in the ranking list.

Before the mobility, scanned copies of the documents are sufficient. Within 14 days of completing the mobility, the original document, bearing all required original signatures, must be submitted to the International Relations Department (IRD).

Applications containing an identical PROPOSED MOBILITY PROGRAMME are rejected. Applications that have already been assessed by the selection committee are not assessed again.

Applications containing an identical PROPOSED MOBILITY PROGRAMME are rejected. This applies both to applications copied by two or more staff members and to applications concerning different mobilities of the same staff member.

Applications containing an identical PROPOSED MOBILITY PROGRAMME are rejected. Applications that have already been assessed by the selection committee are not assessed again. The programme itself may be similar in terms of content, but it must be written from scratch.

The Mobility Agreement should be signed:
- in the case of staff members who are not teaching staff – by the Head of the organisational unit;
- in the case of teaching staff – by the Faculty Coordinators.
The Planned Dates of Stay document should be signed:- in the case of staff members who are not teaching staff – by the Head of the organisational unit;
- in the case of teaching staff – by the Director of the Institute.

Mobilities can be carried out either in person or in a hybrid format. The grant (subsistence allowance) is paid only for days involving physical, face-to-face presence. In the case of a fully remote mobility, participation in the Erasmus+ programme is not applicable.

Teaching mobilities (STA) can only be carried out at universities with which the relevant faculty has an inter-institutional agreement. Please note that the agreement must be signed for the appropriate ISCED code. Faculty Coordinators are responsible for concluding such agreements.

In each selection round, one application may be submitted for a training mobility (STT) and one application for a teaching mobility (STA). However, applications for the same institution cannot be submitted in subsequent selection rounds.A second mobility within the project will only be carried out if, after all mobilities from the reserve list have been completed, there are still funds available.Independently of this, applications for mobilities to Partner Countries may also be submitted.

Yes. These are treated as two independent programmes. Receiving a grant for a mobility to a Partner Country does not prevent you from applying for a mobility to a Programme Country.

If two mobilities of the same type are carried out (e.g. two STT mobilities or two STA mobilities), the host institutions for the two mobilities must be different.If one STT and one STA mobility are carried out, both mobilities may take place at the same institution.

Applications containing an identical PROPOSED MOBILITY PROGRAMME are rejected. The programme may be similar in content, but it cannot be copied.

Please pay attention to the use of capital letters and spaces. The correct format of the code is, for example: PL SZCZECI01 (with a space after PL).

When submitting an application for an STA or STT mobility to a Programme Country, it is not necessary to attach a scanned copy of the teaching/training programme. The content of the programme is entered directly into the online application.The system does not automatically generate the programme. The staff member should transfer the previously entered content to the relevant forms required under the Erasmus+ programme.

The relevant documents for each type of mobility are published on the IRD website below the rules for that particular type of mobility.Please note that different projects may overlap in time. Make sure that you are viewing the section corresponding to the project under which your mobility is being carried out.The project sections are available on the left-hand side and are labelled, for example, KA131-2022, KA131-2023.

This indicates that, at the time of submitting an application, you may apply under this agreement.However, please note that the mobility to the given university can be carried out no later than 30 September 2023. After this date, a mobility under an inactive agreement will no longer be possible, unless the agreement has been extended in the meantime.

A scanned or photocopied document is not considered an original. An original document may be signed by hand or electronically. Yes, the European Health Insurance Card (EHIC) is accepted as a valid health insurance document, provided that the mobility takes place in a country where the card is valid. EHIC is not valid in e.g. Türkiye.

According to the applicable guidelines, documents must be signed using a consistent method, meaning that all signatures on a given document must either be handwritten or all electronic. Before departure, when submitting scanned copies of the documents, it is acceptable to submit documents containing signatures provided using different methods. After returning from the mobility, the original documents must be submitted with all signatures provided using the same method.
